Stage of Innovation: Proof of Concept (You have created something to show the innovation can work)
Problem: In this project, we present an automated document tracking system that facilitates efficient verification of documents as they pass through multiple hierarchies in educational, civil service and public service organizations. The system allows users to monitor the progression of a document through each stage of the process and sends notifications to the responsible individual when it is their turn to take action. At each stage, the receiver can confirm receipt of the document by scanning a unique barcode using a designated barcode scanner, which helps ensure timely and organized handling of documents. This proposed system has the potential to greatly improve the efficiency of document verification processes within various organizations. One of the main problems that our document tracking application addresses is the inefficiency of manual document verification processes. In many organizations, documents must pass through multiple hierarchies for approval or verification, which can be a time-consuming and error-prone process. Without a proper system in place, documents can easily get lost or fall through the cracks, leading to delays and confusion. Our document tracking system aims to solve these problems by providing an automated and organized way to track the progress of documents through multiple hierarchies. With the use of unique bar codes and notification alerts, the system ensures that documents are handled in a timely and efficient manner.
Unique Selling Point: S ome potential ways in which the automated document tracking system might differentiate itself from other commercially available solutions: Unique barcode integration: The use of unique barcodes for each document, combined with designated barcode scanners, can ensure accurate tracking and reduce the risk of lost or misplaced documents, setting the solution apart from others. Notification system: A well-designed notification system can alert individuals when it's their turn to take action on a document, ensuring timely processing and minimizing delays, which may not be a feature in all competing solutions. Customizable workflows: Allowing organizations to tailor the system to their specific document verification processes and hierarchies can make the solution more versatile and adaptable than some alternatives. Seamless integration with existing systems: The ability to integrate easily with various document management systems, databases, and other software commonly used in educational, civil service, and public service organizations can provide a competitive advantage. Focus on target industries: By specializing in the unique needs and challenges faced by educational, civil service, and public service organizations, the solution can offer tailored features and a more streamlined user experience compared to more generic document tracking systems. Advanced analytics and reporting: Providing users with insightful analytics and comprehensive reporting capabilities can help organizations identify bottlenecks, improve efficiency, and make data-driven decisions, distinguishing the solution from competitors with limited analytics features. Scalability and security: Ensuring the system can handle growing volumes of documents and users while maintaining high levels of security and compliance with relevant data protection regulations can make it a more attractive option for organizations of all sizes.
